We are seeking a highly organized and dependable Administrative & Accounting Support Coordinator to serve a central support role within our architectural firm. This individual will be the first point of contact for callers and visitors while also assisting with accounting, clerical, and office coordination responsibilities.

This position requires professionalism, attention to detail, discretion with financial information, and the ability to manage multiple priorities in a fast-paced environment.

Essential Duties and Responsibilities

 

FRONT OFFICE & COMMUNICATION

  • Answer and direct incoming phone calls in a professional and courteous manner
  • Greet and assist clients, vendors, and visitors
  • Manage general firm email inboxes and correspondence as assigned
  • Route inquiries to appropriate departments and ensure follow-up

 

ACCOUNTING SUPPORT

  • Assist with accounts payable and accounts receivable processing
  • Enter financial data accurately into ERP/accounting systems
  • Assist with expense reports and vendor documentation
  • Maintain organized digital and physical financial records
  • Support with administrative accounting tasks

 

ADMINISTRATIVE & CLERICAL SUPPORT

  • Prepare and format documents and reports
  • Maintain organized filing systems (digital and physical)
  • Provide general clerical support to leadership and project teams
  • Scanning and indexing various documents

 

OFFICE COORDINATION & HOSPITALITY

  • Order, stock, and maintain kitchen and grocery supplies
  • Ensure conference rooms and common areas remain organized and presentable
  • Support office-wide initiatives that contribute to a professional work environment.

 

What You’ll Need

 

  • 2+ years of administrative or accounting support experience preferred
  • Excellent communication and customer service skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong organizational skills and attention to detail
  • Ability to handle confidential financial information with discretion
  • Ability to prioritize and manage multiple responsibilities
